Record the contact person, business email domain, telephone number, and the source from which each detail was obtained.

  • Ask whether the seller is the manufacturer, an export company, a distributor, or another contracting party.
  • Confirm which entity receives payment and which entity accepts the warranty obligation.
  • Investigate unexplained changes in beneficiary name, country, account, email address, or payment instructions.
  • Use a second known contact route to confirm any material payment change before sending funds.

2. Identify the Exact Product Configuration

A product family name is not enough. Record the model identifier, chamber construction, orientation, pressure rating stated by the manufacturer, dimensions, weight, included equipment, optional equipment, electrical input, packaging method, destination, and quotation date. 3. Build a Model-Specific Evidence File

Ask the supplier for a controlled evidence package rather than a folder of unrelated marketing files. The appropriate contents depend on the product, destination, intended setting, and agreed project scope. A useful request can include the current data sheet, user and installation manuals, configuration list, drawings, package data, materials or component records relevant to the buyer's requirement, inspection or test records offered for the exact unit or model, and written warranty and support terms.

5. Verify the Issuer and Scope of Certificates

A certificate should be evaluated as a specific record, not as a general quality label. Ask for the complete document, including annexes or schedules that define scope. Check the legal entity, manufacturing site, standard or scheme, covered activities or products, certificate number, issue and expiry dates, and issuer contact details.

  • Confirm that the entity name and address match the supplier or manufacturing site involved in the order.

  • Ask for an explanation when a certificate, annex, model label, and quotation use different names or identifiers.

6. Separate Product Evidence From Site Requirements

The manufacturer supplies model-specific equipment information. The buyer supplies accurate destination and site data. Carriers, installers, and qualified local professionals have separate responsibilities. Before purchase, record who will review access, structure, electrical service, ventilation, fire and life safety, accessibility, permits, inspections, commissioning, and operator training within their scope.

7. Compare Complete Commercial Scope

9. Watch for Evidence Gaps and Contradictions

One missing document does not automatically prove that a supplier is unsuitable, but unresolved contradictions should delay a decision. Examples include a model name that changes between records, a certificate issued to another entity or site, a database number that cannot be matched to the stated product, a quotation that omits destination or configuration, a payment beneficiary that changes without explanation, or performance and service claims that are absent from the signed scope.

Convert each gap into a written question with an owner and due date. Record the response and supporting file. If a material question remains unanswered, mark it as an open assumption rather than treating it as confirmed.

10. Use a Repeatable Supplier Scorecard

A scorecard should measure evidence completeness and consistency rather than reward marketing language. Use the same criteria for every supplier: identity match, configuration clarity, document applicability, independent record verification, complete commercial scope, delivery and site responsibility clarity, inspection and handover records, warranty detail, and response quality.
